Which Papers to Keep and Which Papers to Toss

This week's clutter challenge is to get clear about which papers you can toss and which you should hold onto.

It's time for Spring Cleaning, and with tax time about a month away papers are probably high on your priority list.

Papers You Can Toss

Receipts

No need to keep every receipt. If you tend to return things or fear tossing the receipt only to need it the next day then have a temporary holding place for the month, the usual period of time in which you have to return something.

Overall receipts that aren't warranty, insurance, or tax related do not need to be kept. If you keep receipts for account balancing purposes, you must make a weekly time to go through them to keep track of expenses. Throw away the receipts when you finish.

Warranties and Manuals

One of the best ways to store warranty information or manuals is to use my no fail binder solution. Simply take a 3 ring binder and fill it with clear plastic sheet protectors. Keep all the information related to an item (receipt, photo, warranty information, user manual) together in one sleeve.

Coupons

I know you want to save money, but sometimes we cut coupons that we'll never use. Plus think if the time you waste and the stress you put yourself under, sometimes the thirty cents might not be worth it.

Recipes

Designate one place to store recipes that look good and that you want to try. Then try them. Keep the winners and toss the losers. You might also set criteria, for example, a recipe with too many ingredients immediately gets tossed.

Magazines and Catalogs

Do you have stacks of magazines that you plan to read one day? If so try ripping out the articles you really want to read and carry them with you to read whenever you have a moment. Keeping catalogs for inspiration? Tear out the idea and toss the catalog. Holding onto catalogs to order from? Tear out the page with the item and keep the back page with the ordering information.

Artwork and schoolwork your children create.

It is impossible to save every piece, and if you try the best gets lost among the mess. Instead try an unused pizza box per child, write his or her name on the outside and keep one item per week per child. The boxes stack well under beds or on shelves. Still have too many? Try taking a photo of your child holding the item.

Memorabilia

Give yourself and every member of your family a treasure box where you can store treasures from years gone by. As the box fills up sort through and keep your favorites.

q IRA Contributions
q Medical History
q Military Documents
q Motor Vehicle Titles, Purchase Receipts, and Licenses
q Passports
q Power of Attorney
q Real Estate Records
q Records of Auto Service and Repair
q Separation and Divorce Paperwork
q Settlement Agreements
q Social Security Card
q Tax Returns and Supporting Documentation
q Will (active ones only, once probated you can shred it)


Items to Keep Temporarily (while active plus seven years for taxes)

  • Some of these papers and statements may be kept on file with the financial institution, if you have access to them then you are OK.

Stocks, Bonds, and Other Securities

Bank Accounts, Account of Ownership Registers, and Statements

Cancelled Checks

Savings Certificates

List of Credit, ATM and Debit cards, Credit Contracts, Records of Credit Payments, and Account Statements

Receipts and Records of Deductible Expenses, Income, and Tax Payments

  • This is a suggested list, it is recommended to have your tax professional review the list to be sure it meets with your situation.
