10 ways to have a more productive meeting

So many questions have come in about running effective meetings. Whether your meeting is at work or for an organization or association you are a part of I hope these tips help.

This week try to implement one of these tips when facilitating or attending a meeting.

When you are facilitating a meeting here are some points to consider:

1. If the meeting will be brief conduct it standing up. It will be less formal and go faster.

2. Only invite the necessary people attend, the less people the faster the meeting goes.

3. Prior to the meeting pass out written agendas with a time frame for each topic to be discussed. Place the start time and end time on the agenda. And note in bold if someone is responsible for bringing something to the meeting.

4. Designate someone as the timekeeper; this person will also be responsible for keeping the meeting on track. Rotate this duty from meeting to meeting.

5. Make someone responsible for taking notes and distributing them within 48 hours of the meeting. Make sure action items are noted in bold.

6. Have everyone stand and stretch every 30 minutes. Attention spans are about that long.

7. At the start of the meeting request that everyone to turn off their cell phones and turn pagers to vibrate.

8. Add a question and answer period at the end of the meeting. Let people know it is coming so they will save all their questions until then. Most likely their questions will be answered sometime during the remainder of the meeting.

9. Should someone have a very specific question ask to speak with them one on one after the meeting.

10. At the end of the meeting recap what was discussed and who is responsible for what.
